MCTM Policies and Procedures


Purpose of Website
The purpose of this website is to promote and enhance the public image of the Michigan Council of Teachers of Mathematics (MCTM). This website also supports the Mission of MCTM by:
  • providing easy access to membership services and resources
  • promoting the Michigan Council of Teachers of Mathematics as a quality professional development provider for mathematics education
  • providing a medium for communication among mathematics educators
  • providing a medium to quickly and efficiently convey the most current information relating to mathematics education
  • assisting with the improvement of instruction in mathematics
  • serving as a valuable resource for access to mathematics education publications, research studies, and information services
  • assisting our membership to access state and national organizations concerned with mathematics education by providing links to such organizations' websites.

Website Committee
The purpose of this Committee is to review items, via e-mail, not covered under a current policy, and which require approval or action.

At a minimum, Committee members will be:
  • Chair (appointed by MCTM President)
  • Business Manager of MCTM
  • President-Elect OR Past-President of MCTM
  • Webmaster (appointed by UCI)
Up to six other MCTM members may serve as website committee members. These members may volunteer for such service, or be recruited by the committee members.

Names and contact information (email address, postal address, telephone number) of all website committee members shall appear on a webpage of the MCTM website. If a member is responsible for certain duties pertaining to the website, this shall be so noted, to facilitate communication with site users needing to contact MCTM regarding website questions and issues.

In the absence of the website chair, or at his/her request, any of the other website committee members may perform the duties/responsibilities outlined below.


Submitting items to be included in the website
Requests to place items, information or links on the MCTM website should be sent, via e-mail to the MCTM Website Chair and/or the Business Manager of MCTM, or in writing to the MCTM Office, 3300 Washtenaw Ave., Ste. 220, Ann Arbor, MI, 48104, ATTN: MCTM Website. If deemed appropriate, items or information containing the following information will be placed on the website:
  • Notices of and links to educational seminars and professional development events sponsored by non-profit organizations (MDE, ISDs, etc.) that support the mission of MCTM
  • Notices of and links to other educational seminars and professional development events offered by reputable for-profit entities; such events must support the mission of MCTM
  • Notices of and links to MCTM and other related professional association conference information
  • Nonprofit and reputable for-profit entity links to resources and other sites which support and promote mathematics teaching and the mission of MCTM
The MCTM Board is the final arbiter of decisions regarding posting of all items.


Copyrighted Materials
Permission must be obtained before including copyrighted text, photographs, audio, video, or other media on any web page. A copy of the permission, preferably on paper, must be kept. Page source code will include information about where to locate the permission. Notice of copyright is required where such copyright exists. The registered trademark ? must be used to show use of registered trademarks.

Such permission also applies to any content created by MCTM members or others and which they freely and willingly allow to be shared through the MCTM website. Authorship and contact information will be provided for all such content.


External Links
The ability to hyperlink to external sources is a fundamental part of the World Wide Web and can add significant value to a website. The selection and maintenance of external links should follow the following guidelines:
  • Requests to place links to external resources and web pages on the MCTM website should be sent to the Website Committee for approval and action.
  • Such links will support MCTM's mission
  • External links should be reviewed periodically by the website committee, to ensure their continued relevance and/or suitability. If the content of a link becomes questionable, objectionable, outdated, or no longer relevant in supporting the purpose of MCTM, it should be referred to the Website Committee for review and possible removal.
  • "Dead links" and "broken links" (links which no longer route to active web content) will be requested to be removed upon website committee periodic site review. Members or guests finding such links may also request their removal via emailing the request to a website committee member. The member will ascertain whether the link is truly dead and recommend removal, or whether the URL has changed but the content is still present on the link's host organization's website. In this case, the Committee member may recommend updating the link, if the content still meets the points listed above.

Advertisements and Job Postings
Advertisements and job postings that relate to mathematics teaching, and which do not conflict with the mission of MCTM, may be placed on the MCTM Website. The fees for both advertisements and job postings will be reviewed annually by the website committee. When purchased in conjunction with other MCTM publication advertising, online advertisements will be billed at a discount. The discount amount (percentage) will be recommended to the Board by the Website Committee.

Recommendations for instituting, changing, and/or discontinuing any or all fees and related discounts will be made to the MCTM Board by a Website Committee member (or his/her designee) at a regularly scheduled Board meeting, and such recommendations adopted or rejected by vote of the Board.

The MCTM website will not collect personally identifiable information or contact visitors without their explicit permission. Information collected from individuals on the website will be treated exactly the same as other information provided by members. Participation in any MCTM website or web-based survey is strictly voluntary, and such participation in any survey constitutes explicit permission to collect information which could be potentially personally identifiable. MCTM will not use survey data to attempt to identify individuals. MCTM will use voluntarily disclosed contact information only for the purpose(s) indicated in the survey.

Additional Items
  • 1. Regular maintenance and oversight - The website committee is responsible to see that regular website maintenance and upgrades occur. The website committee will work with the Business Manager to identify items requiring maintenance or upgrading on annual, quarterly, monthly, weekly, and daily bases. Update requests will be made via email to the Business Manager, who will see that such updates are made in a timely fashion.

    Errors, missing links, broken links, dead links, browser incompatibilities, etc., should be reported to the MCTM website committee chair, with a copy (cc) sent to the UCI representative. A message, including this representative's name and e-mail address, will be placed on the home page, requesting that errors or corrections be reported. It is the responsibility of MCTM Board members who have content posted on the MCTM website, which is directly related to their area(s) of responsibility, to review this content between regularly scheduled Board meetings. They are to ensure that such content is up-to-date and remains relevant. Any changes needed should be submitted electronically to the MCTM website chair, with a copy sent to the UCI representative.

  • 2. Future directions for MCTM Website - Regular review and updating of the site is essential. Suggestions for changes or updates to the website should be sent, via e-mail to any MCTM website committee member, with a copy (cc) sent to the MCTM Website Chair as well as to the UCI representative; or, such request may be made in writing, to the MCTM Office, 3300 Washtenaw Ave., Ste. 220, Ann Arbor, MI, 48104, ATTN: MCTM Website.

    The MCTM website committee will periodically survey the MCTM membership as to members' use of the site, what they like, what they feel needs improvement, and to ensure that website content continues to meet the needs of the MCTM members. Such surveys will occur no more than twice in a 12-month period. (September of calendar year to August of following calendar year). Surveys will be taken at least once every two years, beginning with an initial survey in the first half of 2008.

  • 3. On-line Monetary Transactions, Conference/Event Registration - The MCTM webmaster and the UCI representative will update the MCTM website committee chair at least once in any given 12-month period regarding suggested changes or updates to how on-line monetary transactions are processed (membership, MCTM store) and to on-line conference/event registration and payment practices. The website committee will determine which changes or updates to recommend to the MCTM Board to pursue. All pertinent costs and timelines for implementation will be included for recommendations to the website committee, as well as to the Board.

  • 4. Recommendations for changes or additions to the website should be sent, via e-mail to the MCTM website chair or a website committee member, with a copy (cc) to the UCI representative and website chair; or, recommendations may be made in writing, to the MCTM Office, 3300 Washtenaw Ave., Ste. 220, Ann Arbor, MI, 48104, ATTN: MCTM Web.

  • 5.Changes in the World Wide Web environment, and in digital communication in general, are occurring very rapidly. Therefore, it is imperative that the MCTM Board reassess its website policy at least annually. The website committee members shall recommend any changes to the policy, and the website committee chair shall take these recommendations to the Board at a regularly scheduled Board meeting. At that time, Board members may make other recommendations for website policy changes. At the next regularly scheduled Board meeting, the website chair shall present a revised website policy which incorporates, to the extent practicable, the recommendations previously made. At this time, the Board will vote to approve, approve with modifications agreed upon by the majority of the Board members present, or not approve, the website policy.
